Raymond & V. Hunt Auctioneers ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it and your rights, in accordance with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.
Who we are (data controller)
The data controller is Raymond & V. Hunt Auctioneers, Dualla, Cashel, Co. Tipperary, E25 YW50. We are regulated by the Property Services Regulatory Authority (PSRA Licence No. 004907). For any privacy query, contact us at ray@rvh.ie or 087 339 2467.
What personal data we collect
- Contact & enquiry data — your name, email, phone number, property location and the details of your message when you use our contact form or contact us directly.
- Client & transaction data — where you engage us to sell, buy, let or value property, information necessary to provide that service (e.g. identity, property and financial details).
- Technical data — where you consent, we use Google Analytics to see how the site is used: pages visited, how you arrived, roughly where in the world you are, and the type of device and browser. Your IP address is shortened by Google before it is stored, and we use this to improve the site, never to identify you. If you choose "Essential only", none of this is collected. See our Cookie Policy.
Property viewings
When you attend a viewing — in person or virtually — we record the name and contact details of each attendee aged 18 or over. We do this for the security of the property and its occupants, to keep an accurate record of who has viewed and to meet our record-keeping obligations as a designated person under anti-money-laundering law. We may ask to see photographic identification. Viewing records are held securely and access is limited to the staff involved in the transaction.
CCTV
CCTV operates at our premises and at our storage yard, for crime prevention and detection and for the safety of staff and visitors. Signage is displayed wherever cameras are in use. Access to recorded footage is restricted to authorised staff, footage is released only where there is a documented and lawful reason to do so and it is kept no longer than is necessary for those purposes.
How we use your data and our lawful basis
| Purpose | Lawful basis (GDPR) |
|---|---|
| Responding to enquiries and valuation requests | Consent / steps prior to a contract |
| Providing auctioneering, letting and valuation services | Performance of a contract |
| Anti-money-laundering & identity checks | Legal obligation |
| Record keeping and PSRA compliance | Legal obligation / legitimate interests |
| Loading maps and improving the website | Consent |
Our use of AI tools
We use digital and AI-assisted tools in parts of our work — principally to help prepare valuations, to produce and target property marketing and to help handle applications and enquiries. Where we can, the information these tools work with is anonymised or pseudonymised first.
A person always makes the decision. These tools produce suggestions, estimates and drafts; they do not decide anything about you on their own. We do not make decisions about you by automated means alone and every AI-assisted output that affects you is reviewed by a member of our team before it is acted on. If that ever changes we will tell you first and you will have the right to ask for human intervention, to give us your point of view and to challenge the decision.
If you would like to know how these tools were used in your own case, please ask us — we are happy to explain.
Who we share it with
We do not sell your personal data. We may share it, only as necessary, with:
- Service providers who help us operate — our website and email hosting, the automated workflow that delivers form enquiries into our client records system and, with your consent, Google for analytics and for the map of our office;
- Solicitors, surveyors and other professionals involved in a transaction;
- Regulators and authorities where we are legally required to (e.g. PSRA, Revenue).
International transfers
Some providers may process data outside the European Economic Area. Where they do, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses. This applies in particular to Google, which provides our analytics and maps and may process data in the United States. You can avoid this entirely by choosing "Essential only" on our cookie banner, or by withdrawing consent at any time.
How long we keep it
We keep enquiry data only as long as needed to deal with your query. Other records are kept for the periods required by law and PSRA regulation:
| Record | Retention period |
|---|---|
| Client files — sales, lettings, property management and valuations | At least 7 years from completion of the service, or from the end of the client relationship if later |
| Identity and source-of-funds checks (anti-money-laundering) | 5 years from the transaction, or from the end of the business relationship |
| Financial records | At least 7 years from the end of the financial year |
| Property viewing records | At least 7 years from the viewing, or from completion of the transaction if later |
| Marketing preferences | Until you opt out or withdraw consent |
At the end of the retention period, records are securely deleted, destroyed or anonymised. Where a record is needed for actual or expected legal proceedings, we hold it until that matter is resolved.
Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to processing;
- data portability; and
- withdraw consent at any time (without affecting prior processing).
To exercise any of these rights, contact us at ray@rvh.ie.
How we handle your request
We will acknowledge your request within 5 working days and respond in full within one month. If your request is complex, or you have made several, we may extend that by up to two further months — we will tell you within the first month if we need to and why. There is no charge unless a request is manifestly unfounded or excessive.
We will need to satisfy ourselves of your identity before releasing any personal data, so we may ask you for identification. Where a request would conflict with a legal obligation — for example anti-money-laundering records we are required to keep — we will explain what we can and cannot do and why.
Complaints
If you have a concern about how we handle your data, please contact us first. You also have the right to lodge a complaint with the Irish supervisory authority, the Data Protection Commission (DPC), at dataprotection.ie.
Security & changes
We take reasonable technical and organisational measures to keep your data secure. We may update this policy from time to time; the current version is always available on this page.
